Overview of iCIMS Connect (Legacy CRM)

Connect allows you to proactively build a pipeline of talent through talent poolsgroups of individuals organized by area of interest (e.g., sales, finance) or some other commonality (e.g., May 2019 graduates). When the time comes to source for a new job, you can simply look to a related talent pool in your system.

About the Talent Pool Profile

Each talent pool created in your system is managed through a dedicated Talent Pool profile; all pertinent information about the talent pool is stored there. Specifically, candidates added to a talent pool are listed on the People tab of its profile. You can organize and take action on these candidates directly from this tab.

Filtering Candidates in a Talent Pool and Accessing Their Profile

You can identify desirable candidates in a talent pool using filters on the People tab of that Talent Pool profile. For instance, find candidates with specific tags or activity levels, or those who live within a certain distance from your location. You can learn more about a candidate by accessing their Person profile directly from the People tab.

  1. Navigate to the appropriate Talent Pool profile by performing a Quick Search at the top right (if available) or a full search (Search > Talent Pool).
  2. On the Talent Pool profile, select the People tab. Then, select the Filters button.
  3. On the Modify Filters popup, make selections in any of the available filters (e.g., Source, Has Resume, Date Added to Talent Pool). When finished, select Apply Filter(s) at the bottom.

    Notes:

    • To edit the full search form from this popup, select the Advanced Search link at the top right.
    • To clear one search filter, select Clear to the right of the relevant filter. To clear all filters, select the Clear All button at the bottom of the popup.
    • Once you've applied your filters, the number of active filters will display within the Filters button on the People tab. For example, Filters (4) indicates that you have four active filters. In addition, a Clear button will display next to the Filters button, where you can clear all filters without opening the Modify Filters popup again.
  1. Make sure the By Status grouping is selected so that candidates are organized by their latest status in that talent pool. The status names may differ depending on your organization's preferences. (For more on statuses, review Reviewing Candidates in a Talent Pool below.)

  1. Expand the panels as necessary to view candidates in any preferred status. Once a desired candidate has been identified, select their name to access their Person profile.

Notes:

  • Available grouping options also include By Source and By Date Added. You may also have an additional option, By Workflow, if the default search template was previously customized. Furthermore, if you do not have a By Workflow grouping option but later change the default search output groupings to differ from the existing defaults, the By Workflow grouping will display upon saving and overwriting the existing template.
  • For the By Status, By Source, and By Application Date groupings, you can choose to review a Detailed View or Chart View of the results. To change the view for a particular grouping, select the dropdown beside that option and select the desired view. You can then select charts as desired to view detailed search results. (Your visualization selection for each grouping, Detailed View or Chart View, will be remembered by the Platform on a per-user basis.)

Reviewing Candidates in a Talent Pool

On the People tab of a Talent Pool profile, you can review candidates by assigning them to specific statuses. For instance, if you speak to a candidate who makes a great first impression, you can place them into a positive status like Hot or Pursue. Statues are configurable, so the ones available to you may be unique to your organization.

  1. From the Talent Pool profile, navigate to the People tab and identify the candidates you would like to review.
  2. Select the checkbox beside each candidate's name and select the Review button at the bottom.

  1. From the menu that displays, select the appropriate status for those candidates in relation to their fit for that talent tool. Each candidate's name will then move to that status bin on the People tab.
Notes:
  • The statuses available in the popup launched by the Review button are equivalent to the thumbs up and thumbs down buttons available in Recruiter Review Mode. For more information about Recruiter Review, review the Reviewing Event Attendees in Recruiter Review Mode section of Creating and Managing Events in iCIMS Connect (Legacy CRM).
  • A candidate's status in a talent pool can also be updated from the Workflows tab of their Person profile. Select the Take Action icon beside the applicable talent pool. In the Edit Workflows popup, select the desired status from the Status dropdown and select Save.

Viewing Candidate Activity Level

While reviewing candidates in a talent pool, you can easily view each person's Activity Level via a horizontal bar graph on the People tab.

Activity Level is a measure of how actively engaged a person is with your organization, scored from 0 to 100. For instance, candidates who regularly log in to your career portal in search of jobs would have a higher score, while those who haven't engaged in some time would have a lower score. These scores can help you determine which candidates to pursue or pass over for open positions.

Notes:

  • Activity Level is a default column on the People tab of all Talent Pool profiles.
  • Selecting an individual's bar graph from this column opens a popup with more information on their Activity Level, including a stream of their recent activities.

Submitting Candidates to Open Positions from a Talent Pool

If you notice that candidates in a talent pool are qualified for one (or several) of your open positions, you can submit them to those jobs directly from the Talent Pool profile People tab. Candidates submitted to a job are immediately added to the People tab of the appropriate Job profile.

  1. On the Talent Pool profile People tab, identify the candidate(s) you would like to submit to a job.
  2. Select the checkbox beside the associated candidate(s), select More Actions at the bottom, and then select Submit to Workflow.
    • Tip: You can also manually drag your candidates onto More Actions and drop them onto Submit to Workflow.
  3. On the Submit to Workflow popup, select an option from the Filter By dropdown menu, such as All Open Jobs.
  4. Double-select an item in the Available column to move it to the Selected column (or use the arrows to move items from one column to the other).
  5. When finished, select the Submit button. This immediately submits those candidates to the position(s) you selected.

Notes:

  • You can also submit a candidate to a job directly from their Person profile. Just select the Submit to Job button in the left pane of their profile (below the factoids) and follow steps 3-5 above.
  • Submitting a candidate to a job will not automatically change their status on the Talent Pool profile People tab. If your organization uses a status for Submitted to Job, for instance, you would have to manually select that status for those submitted candidates.

Recommended Next Steps

As you continue to add and evaluate candidates in your talent pools, make sure you're keeping those individuals engaged and interested in your employment brand. You can do this in various ways, including inviting them to your events and nurturing them through email campaigns.

It's also important to regularly manage your talent pools to avoid having too many disengaged candidates. You can review which candidates have low Activity Level scores, or have just been in a talent pool for longer than desired, by building and saving a report through a Sourcing Workflow search. You can even add that report to your dashboard. This way, you'll know easily which candidates to re-engage or remove from your talent pools.
