Searching iCIMS Connect (Legacy CRM) for Top Passive Talent

Overview

Your iCIMS Connect (Legacy CRM) portal is up and running, and candidates have begun submitting resumes and expressing interest in your organization. As your talent pools begin to grow, the next step is finding the best-qualified candidates for your organizational needs. The searches outlined in this article provide examples of how to approach the task of reviewing your Connect candidates so you can start building relationships with your top passive talent. 

Connect Search Types

The main types of searches to use for Connect candidates are Sourcing Workflow searches and Candidate searches. Sourcing Workflow searches are used to report on candidates as they relate to their chosen talent pool(s). Candidate searches report on all candidates in your database, including both candidates with and without selected talent pools. Each type of search brings a unique benefit to discovering the best talent.

The Benefits of a Sourcing Workflow Search

  • View candidates by their selected talent pools
  • Can limit results to pinpoint candidates who selected specific talent pools
  • Review and update candidates’ Connect statuses

The Benefits of a Candidate Search

  • Includes candidates who connected for general consideration
  • Simplifies results to individual candidate profiles rather than profiles per talent pool
  • Can include candidates who have applied directly to jobs to review a wider pool of candidates 
    • Tip: Qualified candidates who have previously applied for jobs but weren’t hired (your "Silver Medalists") can be added to your talent pools for future consideration on other open positions! 

Sourcing Workflow and Candidate searches can both be accessed from the main menu bar: Search > Sourcing Workflow or Search > Person > Candidate.

Using Candidate Searches for Connect

When running a Candidate search, by default, your results will consist of all candidates within your system, including those who have already applied to jobs. There are two filters that can be used, either together or separately, to tailor your results to just the candidates you want to target. These filters are # of Associated Sourcing Workflow and # of Associated Recruiting Workflow.

# of Associated Sourcing Workflow enables you to filter the candidates in your results based on the number of talent pools they have joined. # of Associated Recruiting Workflow filters candidates based on the number of jobs they have applied to. These filters can be set to a specific number or set to a range greater than or less than a given number. For example, setting # of Associated Sourcing Workflow to ‘greater than or equal to 1’ limits your Candidate search results to only candidates that have joined at least one talent pool. Similarly, setting # of Associated Recruiting Workflow equal to 0 filters out candidates that have already applied to jobs. 

Connect Search Examples

As candidates begin to connect with your organization, it can be challenging to discover and target the best-qualified candidates. Each search described below provides a unique way to review your candidates. While these searches can be run on their own, the filters and columns used listed can also be mixed and matched to create custom reports tailored to your own business needs. Note: Unless otherwise specified, each of the searches outlined below can be created as a Sourcing Workflow or Person search. 

New Talent Pool Candidates

This Sourcing Workflow search returns a list of unreviewed candidates that created a profile within a given time frame so you can quickly review if you have new candidates in your talent pools. This search is great for dashboards! For more information on configuring your dashboard, review Adding and Editing Panels and Widgets.

  • Add a filter for Created Date. Set the date range to Past 7 Days, Since Last Workday, or another desired time frame.
  • Add a filter for Status and select Needs Review or New to Pool.
  • Set your output template to Talent Pool Totals to group results by talent pool.
    • Want to target a specific talent pool? Add a filter for Talent Pool instead of using the above output template.

Active Candidates

Use this search to discover the candidates that are most actively engaged with your organization. 

  • Add a filter for Activity Level and choose the desired level.
  • Add a column for Activity Level and Last Access Date.

Candidates by Location

Target candidates in a certain location using this search or review the location breakdown of all your candidates at a glance. 

  • Option 1: Add a filter for City or State, depending upon your needs (e.g., Person > Contact tab > State) and input the desired location to find candidates in that location.
  • Option 2: Review the location breakdown of all your candidates by adding City or State as a group-by instead of a filter.
  • Add desired address fields (City, State, Postal Code) as columns for both options. 

Postal Code Radius Search

This type of search offers an even more targeted location search by looking for candidates within a given distance of a specified postal code. You can input a specific postal code or you can create a dynamic search that utilizes a logged-in user’s location for tailored dashboard reports. 

  • Add a filter for Postal Code Radius. Choose your radius distance and input your desired postal code.
  • To create a dynamic search, select the Dynamic Filtering icon to the right of the filter and choose Postal Code (Manager Tab > Default: Location > General > Postal Code). 
    • Note: If the Location field on the Manager tab of the logged-in user is not filled out, this dynamic search will return no results. 
  • Add the desired address fields (City, State, Postal Code) as columns.

Candidates Who Uploaded a Resume

This search returns a list of candidates who have uploaded a resume and enables you to view or download it right from your search results. 

  • Add a filter for Has Resume and select Yes from the dropdown.
  • Add a column for Candidate Resume for an icon that opens a popup of a candidate’s resume.
  • Add a column for Download Resume for a link to download a candidate’s resume.

Candidates by Education History

Use this search to target candidates who went to a specific school or group candidates by latest education to review what schools your candidates are coming from at a glance. 

  • Option 1: Add a filter for Education: School and select a school name from the list to target candidates who attended a specific school. 
  • Option 2: View a breakdown of where your candidates most recently went to school by adding a group-by for School (Person > Experience Tab > Latest Education > Experience Tab > School). 

Candidates by Employment History

Pinpoint candidates who work or worked for a specific company or held a particular job title using this search. 

  • Add a filter for Professional Experience: Employer or Professional Experience: Title and type in the desired employer or job title in the box.
  • Add a column for Candidate Resume for an icon that opens a popup of a candidate’s resume.
