Overview
Users who are logged in to iCIMS Applicant Tracking (ATS) can receive in-system notifications and access a Notifications Center from the system menu bar.
A user may receive a notification when any of the following updates occur:
- Another user tags them with an @mention within a profile note.
- Notes:
- @mentioning functionality is compatible with Person profiles shared with additional solutions (that is, iCIMS Offer Management, iCIMS Onboarding, and/or iCIMS Connect (Legacy CRM)).
- For additional information about @mentions, review the Managing Notes within a Profile article).
- Someone sends a text message to their associated Text Engagement number.
- Note: Requires a subscription to iCIMS Text Engagement.
- Another user schedules, reschedules, or cancels an interview with them, or another user schedules, reschedules, or cancels an interview with a candidate for a job for which they are the recruiter.
- Note: Requires use of the Interview Scheduling interview feature in iCIMS ATS.
- A candidate responds to an offer for a job for which they are the associated hiring manager or recruiter.
- Note: Requires use of the iCIMS Offer Management offer solution.
Users can review and mark notifications as read, as well as configure their individual preferences by enabling or disabling specific types of notifications.
Notes:
- In-system notifications expire after 28 days; once a notification expires, the system removes the notification from the individual’s notification list and Notification Center.
- Notification preferences are managed by individual users; this feature cannot be disabled or managed organizationally by a user admin.
- This article does not include information about task notifications, event notifications, or any form of candidate notifications within iCIMS ATS or related systems. For additional information about these topics, review the following articles:
This article is composed of the following sections:
Accessing Notifications and the Notifications Center
The Notifications (bell) icon displays to the left of Quick Search on the menu bar. If a user has new notifications, the number of new notifications displays to the upper right of the icon. If a user has more than nine new notifications, the system displays the quantity as 9+. Once a user opens the notification list, any notifications no longer display as new; this attribute is managed separately from whether a notification is considered Read or Unread, described in additional detail in the section below.
Accessing the Notifications List
Selecting the Notifications (bell) icon displays a list of unread notifications by default. (The user may select the Show Read toggle to display all notifications from the past 28 days.)
Users can take the following actions from the notifications list:
- Notifications (Open Page icon): Launch the Notifications Center
- Show Read toggle: Display or hide notifications marked as Read
- Mark All as Read (More Options (three dots) icon > Mark All as Read): Mark all notifications as Read
- Mark as Unread / Mark as Read (check or circle icon): Mark an individual notification as Read or Unread
Additionally, depending on the notification type, users may be able to preview select information within the notification card (for example, selecting the name of a user who has @mentioned you in a note generates a preview of their contact information) and/or access further information elsewhere in the system (for example, selecting the preview text of an @mention comment launches the relevant profile’s Notes tab, selecting the text of an interview notification launches the relevant profile’s Activity tab, etc.).
Note: Users who cannot access a specific profile and/or cannot access the Notes tab still receive a notification when they are @mentioned in a note. These users can review a short preview of the message, but may need to follow up with the individual who tagged them for additional context.
Accessing the Notifications Center & Configuring Notification Settings
Selecting the Open Page icon to the right of the Notifications header launches the Notifications Center. This page displays a list of notifications from the past 28 days on the left and a list of notification settings on the right side of the page.
Note: Although all notification types display as options on this page, whether a user can receive Offers, Text Engagement, and Interviews notifications depends on their organization’s iCIMS Subscription and specific feature use and configuration, as described in the
Overview section of this article.
Notifications
In addition to the functionality offered in the notifications list preview, this page allows the user to filter notifications based on notification type by selecting Filter, then selecting all desired notification types to display.
Notification Panel Settings
Each user can configure whether to receive in-system notifications for the following notification types:
- @mentions
- Offers
- Text Engagement
- Interviews
In-system notifications are represented by the
In App notification method button.
Notifications are enabled by default for all notification types and methods. When enabled, the associated notification method button displays as shaded.
To disable a notification type, select the notification method button for an enabled notification method to disable this notification method. Disabled notification methods display with the notification method button background in white. Any changes to a user’s preferences save automatically.
Notes:
- If a user deactivates a notification type, notifications of that type are suppressed for the duration of the deactivation. This means that these items cannot be accessed in the notification list or Notification Center even if the user later reactivates that notification type.
- The system does not indicate to other users if a user has deactivated a notification type. For example, if a user deactivates @mention notifications, other users can still tag the user using @mention functionality, but the user will not receive that information through the notifications feature.
