Purging Location and Job Profiles

Overview

The Purge feature in iCIMS Applicant Tracking, iCIMS Onboarding, iCIMS Offer Management, and iCIMS Connect (Legacy CRM) allows a user admin to delete all of the information in the Purge (or Archive) folder. Location (Company), Job, and Person profiles can all be purged from the system in the event that duplicate or incorrect profiles are created. This article will discuss the steps to purge a Location (Company) or Job profile. For steps to purge a Person profile, see Purging Person Profiles.

Purging a Job profile also deletes the workflows associated with that job. If the Job profile does not need to be purged, but an associated workflow does, the user admin can dissociate the job from the workflow to delete the workflow and its related history from the system. Warning: Purge actions are irreversible and clear out all information contained in the Purge folder in bulk for that specific folder type. While you can select the Profile type to purge, you cannot select specific profiles to purge in the Purge folder.

Notes:

  • The recommended sequence for marking records for purge is Location (Company) profiles, then Job profiles, then Person profiles, if applicable.
  • Purges process during low usage hours to avoid affecting performance. 
  • Profiles are purged in ascending order of system ID or job ID. 
    • Profiles that were previously unable to be purged due to validation conditions are moved to the end of the purge queue.
  • If you do not have the Purge option available in the Admin menu, contact iCIMS Technical Support to enable this feature for User Admins of the system. 

Purging Location Profiles

  1. Conduct a search (Search > Location)  to locate the profile(s) that should be purged from the system. Enter any criteria that will assist in identifying the profile(s) that need to be purged.
  2. Check the box to the left of each Location profile that you would like to purge, then click Bulk Edit.
  3. Select the Professional tab, then select the Location Folder field. Then update the Location Folder value(s) to Purge (or Archive). Save and allow changes to process, then click Close.
  4. After all desired profiles are within the Purge folder, navigate to Admin > Tools > Purge Archives and select the Purge for the Location profile type. Review the warning popup and select OK. A green confirmation message will display with details as to when the purge will process. 

Purging Job Profiles

  1. Conduct a search (Search > Job)  to locate the profile(s) that should be purged from the system. Enter any criteria that will assist in identifying the profile(s) that need to be purged.
  2. Check the box to the left of each Job Profile that you would like to purge, then click Edit Folder.
  3. Update the Job Folder value(s) to Purge (or Archive) . Save and allow changes to process, then click Close.
  4. After all desired profiles are within the Purge folder, navigate to Admin > Tools > Purge Archives and select the Purge for the Job profile type. Review the warning popup and select OK. A green confirmation message will display with details as to when the purge will process. 
  • Note: Purging a Job profile also deletes the workflows associated with that job. If the Job profile does not need to be purged, but an associated Recruiting Workflow profile does, the user admin can dissociate the person from the recruiting workflow to remove their attachment to a particular job, deleting the recruiting workflow and associated history.
