Overview
iCIMS' Applicant Tracking (formerly Recruit) offers customers the ability to capture candidate source information in order to easily track source effectiveness. The system can track certain source information automatically based upon how the candidate’s information is entered into the system the first time (e.g., candidate application via career site, recruiter-uploaded submissions, email import, agency submissions, etc.), how the candidate is associated with any specific job (e.g., candidate application via career site, candidate association with the job within the system by a full-access user, recruiter-uploaded submissions, email import, agency submissions, etc.) as well as the candidate’s self-reported source (e.g., employee or other referral source, job board or other recruitment marketing advertising channel, etc.).
This article is composed of the following sections:

Candidate Source Fields on a Candidate Profile
Access a candidate’s initial source information on a candidate profile by clicking the
Candidate Details tab on the profile.
Source Channel (rcf3047) | This field is read-only by default and may not be edited by the applicant. It displays information about how the candidate profile was originally created, such as by a candidate, agency, or other individual via an iCIMS' Applicant Tracking (formerly Recruit) career site (the default value may be set by the client on a per-career site basis); entered into the system by a recruiter (displays as iCIMS Talent Platform); or imported by a recruiter via Email Import, etc. |
Source (rcf3048) | This field value is editable by the applicant during the traditional application process. It displays the initial candidate-reported source type (e.g., College Career Fair, Company Website, Employee Referral, specific job boards, social media, print media, etc.) or reflects the source of the candidate’s resume if the candidate did not submit their own initial application (e.g., if an agency creates a candidate profile and then submits that candidate to a job, the source value will be Vendor/Agency). |
Source Name (rcf3049) | This field value is editable by the applicant during the traditional application process. It displays additional candidate-reported source information or clarification in a free-text or dropdown field (if applicable) or reflects the name of a referrer who is not logged in to the system so that the referrer may receive credit for the referral. |
Source Person (rcf3052) | This field value is not editable by the applicant. It displays a hyperlinked person profile relating the applicant to a specific person within the system. Referrers who are logged in to the system (e.g. recruiters, Vendor/Agencies, etc.) will be automatically associated with the candidate profile they referred to a job or they created via the Source Person field. |
Source Device (rcf3076) | This field is read-only by default and may not be edited by the applicant. It displays the device the candidate used to submit the application, if applicable. |
Tips:
- Two additional source fields, Source Phone and Source Email, are available, but hidden by default. These fields may be used to collect phone or email information to tie referrers who are not logged in to the system with their referral.
- When manually posting a job to an external job board, users can configure specific links so when candidates are directed to the job page, their source information is automatically passed into the system. For instructions on how to configure these links, see Creating Links to Auto-Fill Candidate Source Fields.
Candidate Source Fields on a Recruiting Workflow Profile
Candidate source information may be easily viewed on a per-job basis within the candidate’s Recruiting Workflow profile.
Access per-job candidate source information on a Recruiting Workflow Profile by clicking the
Source (Workflow) tab. This tab will display captured per-job candidate Source Information (additional information below).
Source Channel (rcf3168) | This field is read-only by default and may not be edited by the applicant. |
Source (rcf3167) | This field value is editable by the applicant during the traditional application process. It displays the initial candidate-reported source type (e.g., College Career Fair, Company Website, Employee Referral, specific job boards, social media, print media, etc.) or reflects the source of the candidate’s resume if the candidate did not submit their own initial application (e.g., if a recruiter submits an existing candidate to a new job in the system, the source value for the new job will be Identify Feature; if an agency creates a candidate profile and then submits that candidate to a job, the source value will be Vendor/Agency, etc.). |
Source Name (rcf3169) | This field value is editable by the applicant during the traditional application process. It displays additional candidate-reported source information or clarification in a free-text or dropdown field (if applicable) or reflects the name of a referrer who is not logged in to the system so that the referrer may receive credit for the referral. |
Source Person (rcf3172) | This field value is not editable by the applicant. It displays a hyperlinked person profile relating the applicant to a specific person within the system. Referrers who are logged in to the system (e.g. recruiters, Vendor/Agencies, etc.) will be automatically associated with the candidate they referred to a job or they created via the Source Person field. |
Source Portal (rcf3300) | This field is read-only by default and may not be edited by the applicant. It displays the career site through which the candidate applied for this job, if applicable. |
Source Origin (rcf3323) | This field is read-only by default and may not be edited by the applicant. It displays the method by which the candidate was associated with this job (e.g., Self Submission, Recruiter Submission, Vendor Submission, Social Network Post, etc.) |
Source Device (rcf3177) | This field is read-only by default and may not be edited by the applicant. It displays the device the candidate used to submit the application to this job, if applicable. |
Tip: Three additional source fields, Source Phone, Source Email, and Source External ID, are available, but hidden by default. These fields may be used to collect phone, email, or other information to tie referrers who are not logged in to the system with their referral.
Configuring Source Options as a User Admin
If you are a user admin interested in learning more about configuring available source options within source dropdown lists, follow the steps in the example below.
Example: The following steps describe adding an item to the dropdown list for the
Source field (rcf3048), which displays on the Candidate Details tab of the candidate profile. The process for editing other Source Information fields’ dropdown lists is similar.
Note that modifying dropdown lists for Source Information fields found on the candidate profile will also affect dropdown lists for Source Information fields found on the Recruiting Workflow profile, and vice versa. (E.g., Adding an item to the dropdown list for the candidate profile field Source (rcf3048) will also add an item to the dropdown list for the Recruiting Workflow profile Source (rcf3167). This is also true for any Source field with a dropdown list.)
- Navigate to the Source Information section of System Configuration (Admin > System Configuration > System > Person > Cand. Details > Source Information).
- Tip: Ensure that Global Group is selected from the User Group dropdown. This group should be selected by default.
- Select the blue Actions arrow to the right of the desired dropdown field, then select Edit Field Properties.
- Click the Edit link in the Edit Field Properties popup.
- To add a new list item, click the field label (e.g., Source (rcf3048)), then click the green Create List Item icon.
- Enter a Label for the new dropdown list item and make any additional selections relevant to this list item. Then click Save.
Tips:
- Fields such as Source include source-specific options within System Configuration. These include
- Show on Portals: Allows the user admin to indicate if a specific source option should display as an option for candidates to select from on a Source dropdown list on career sites.
- Free-Text Source Name: Allows the user admin to indicate whether the Source Name field should display as a free-text field if this option is chosen.
- To edit an existing dropdown list item, click the Label for that list item, then make any desired changes on the right side of the popup. Click Save to save all changes.
- To undo changes applied to a specific list item, click the Reset to Default Value icon. This icon displays as a rounded arrow in the right column on the screen and can be seen in the image above.
- To exit without saving, click Cancel. A popup confirmation may display if you have unsaved edits.
