The Common Reports article identifies the most commonly requested searches and include this report type in iCIMS Applicant Tracking (ATS). Active Candidates in Your Department's Open Jobs

Helpful Hint: When creating a search, it is helpful to first come up with a clear idea for your report. Think about which candidates you want to report on (the "Who"), what details you want to know about them (the "What"), and how you want to organize the information (the "How"). The more specific you are with your idea, the easier it will be to break it down into these three sections, which will help you choose the right Keywords and Filters (for "Who"), Columns (for "What"), and/or Group-Bys and Sort-Bys (for "How") for your report. This three section concept is used below to create a report of active candidates for your department's open jobs.

Scenario: You want to review all the candidates who applied to your department's currently open jobs.

1. Break your report idea down into the three sections to help determine the best way to create your search:
  1. Who are you reporting about: Using filters, you can narrow your search down to only candidates for your department's open jobs.
  2. What do you want to know about them: For this report, no specific columns are required for a successful search. 
  3. How would you like this information organized: Using group-bys, you can group candidates by the job to which they applied to easily review one job at a time. 
2. To create your search inside the iCIMS system, from the top menu bar, select Search > Recruiting Workflow. The "Who," "What," and "How" directly correlate with the three sections (A, B, and C, respectively) outlined in the below image.

A. Keywords and Filters: Who are you reporting about?

To report on candidates who applied to open jobs within your department, add a filter for both Job Folder and Department. 

  • Keywords: N/A for this report.

  • Filters:

1. Click Add Filter and add Job Folder. The selection path is Job File > Job > Detail Tab > Job Folder
2. Select Approved (or your equivalent 'Open' job folder) from the list to the right of the added filter. 

  • Tip: If you use more than one folder for open jobs, select multiple folders from the list by pressing the Ctrl (or Cmd) key on your keyboard and clicking all the relevant options in the list.
3. Click Add Filter and add Department. The selection path is Job File > Job > Detail Tab > Department. 
4. To the right of the Department options, select the blue Dynamic Filtering icon. Expand Employee Tab and choose Department
  • Tip: By default, only user admins have access to the Dynamic Filtering icon. However, searches with dynamic filters can be saved as templates and shared with other users, such as hiring managers. While other users cannot modify the dynamic filter, they can access the search and benefit from the filter, which will automatically update to be filled in with a value relative to their own profile. For more information, see the Dynamic Filters section of the Introduction to Searching & Reporting: Filters & Subgroups article. 

B. Columns: What do you want to know about these candidates?

No specific columns are required for this report. Add any columns for candidate and job information as needed for your report. 

C. Group Results By and Sort Results By: How would you like this information organized?

To easily review candidates one job at a time, group by Job Title and Job ID. 

  • Group Results By:
1. Click Add Group-By and add ID. The selection is Job File > Job > Detail Tab > ID.
2. Select Add Group-By and add Title. The selection is Job File > Job > Detail Tab > Title
  • Tip: To separate each individual job into its own grouping in the search results, group by both Title and ID. Grouping only by Title will lump all jobs with the same title into one group, even if they are separate openings. 
  • Sort Results By: N/A
