New Hires Starting Soon with Incomplete Onboarding

Helpful Hint: When creating a search, it is helpful to first come up with a clear idea for your report. Think about which candidates you want to report on (the “Who”), what details you want to know about them (the “What”), and how you want to organize the information (the “How”). The more specific you are with your idea, the easier it will be to break it down into these sections, which will help you choose the right Keywords and Filters (for “Who”), Columns (for “What”), and/or Group-Bys and Sort-Bys (for “How”) for your report. This three section concept is used below to search for new hires starting soon with incomplete onboarding. 

Scenario: To ensure new hires have completed their onboarding process prior to their start date, you want to see a list of all new hires starting in the next 30 days who are still in an incomplete status. 

1. Break your report idea down into the three sections to help determine the best way to create your search:
  1. Who are you reporting about: Using filters, you can narrow down your search to only new hires starting in the next 30 days who have not yet completed their onboarding process
  2. What do you want to know about them: Using columns, you can review these candidates' status, task progress, and individual start dates. 
  3. How would you like this information organized: Using group-bys, you can organize your candidates by their start date. 
2. To create your search inside iCIMS Onboarding, from the top menu bar, select Search > Onboarding Workflow. The “Who,” “What,” and “How” directly correlate with the three sections (A, B, and C, respectively) outlined in the below image.

A. Keywords and Filters: Who are you reporting about?

To search for new hires with an upcoming start date, add a filter for Start Date. To focus on candidates with an incomplete onboarding process, add a filter for Status. 

  • Keywords: N/A for this report.
  • Filters:
1. Click Add Filter and add Start Date. The selection path is Fields (Workflow) Tab > Person > Employee Tab > Start Date
2. Select Next 30 Days from the dropdown to the right of the added filter.
3. Click Add Filter and add Status. The selection path is Fields (Workflow) Tab > Status
4. Select the – Blank – link and choose Ready to Onboard and Onboard in Progress from the popup. Click Select.
  • Tip: Depending upon your system's configurations, you may have differently labeled Onboarding statuses. To focus on candidates who are incomplete, select any status that indicates new hires have not finished their tasks.
B. Columns: What do you want to know about these candidates?

To view the candidates' onboarding progress and number of remaining tasks, add columns for both Progress Bar and Task Progress. To view their specific start date, add a column for Start Date. 
  • Columns:
1. Click Add Column and add Progress Bar. The selection path is Onboarding Workflow Tasks > Progress Bar
2. Click Add Column and add Task Progress. The selection path is Reporting & Advanced Options - Tasks > Task Progress
3. Click Add Column and add Start Date. The selection path is Fields (Workflow) Tab > Person > Employee Tab > Start Date

C. Group Results By and Sort Results By: How would you like this information organized?

Add a group-by for Start Date to group new hires by the week they are starting for easy review and prioritization. 
  • Group Results By:
1. Click Add Group-By and add Start Date. The selection path is Fields (Workflow) Tab > Person > Employee Tab > Start Date
2. Select Week from the dropdown to the right of the added group-by to group all new hires with a start date in the same week together. 
  • Sort Results By: N/A
