iCIMS Text Engagement: Purging Candidates

Overview

iCIMS Text Engagement automatically purges candidates whose profiles are purged from an organization’s connected iCIMS Applicant Tracking (ATS). iCIMS ATS processes information purges at regular intervals during low-volume hours; completion of this purging process triggers a purge of matching records from Text Engagement approximately five minutes later.

Note: This automated process is one-directional from iCIMS ATS to Text Engagement and only applies to purges of entire candidate profiles. Purges of individual data elements do not trigger corresponding purges in Text Engagement, and purges in Text Engagement do not impact ATS.

The candidate purging feature in iCIMS Text Engagement allows customer admins to manually delete all candidate information in cases where their organization does not also use iCIMS Applicant Tracking (ATS) or in cases where a candidate must be purged immediately, without waiting for the automated sync. This article outlines the steps to purge a candidate profile.


Warning: Purge actions are irreversible and permanently delete all candidate information, including the following:

  • First Name
  • Last Name
  • Phone Number
  • Associated message history (e.g., message text, date, and time is no longer associated with the candidate profile and the candidate conversation is removed from the inbox)
    • Note: Historical message details (e.g., text, date, and time) remain available to download for reporting purposes; however, personally identifiable information is removed from the message details in reports so that the messages are no longer associated with the candidate.
  • Campaign membership (i.e., the link between the candidate and campaigns)

If you are a Text Engagement admin interested in access to the candidate purging feature, contact your iCIMS Account Manager. Approved admins will be assigned the Customer Admin role in iCIMS Text Engagement. Customer admins have access to the same functionality as the Manager role, with additional access to the candidate purging feature. The Customer Admin role should be limited to only a select few admins to prevent unintentional data loss, as purging is irreversible and permanently deletes candidate data.

Note: To disable messaging to specific candidates without deleting their data, other actions like marking candidates inactive or archiving candidates are available. For more information, review the iCIMS Text Engagement: Introduction to Candidate Profile Actions article.

Purging Candidates

Note: Purging candidates is an irreversible action that permanently deletes all candidate information for the selected candidate(s). Candidate data cannot be recovered after a purge.
The steps below outline how a customer admin may directly purge candidates from the iCIMS Text Engagement web application.
  1. From the dashboard, click Candidates on the left sidebar to open the Candidates page.
  2. From the Candidates page, click Purge Candidates in the upper right corner; this launches the Caution – Purge Candidates popup.
  3. From the Caution - Purge Candidates popup, check the boxes to the left of the applicable candidate names to select which candidates to purge. If applicable, use the following available filter options to narrow down the list of available candidates:

  • Filter By: Enter a tag name in this field to filter candidates by tags added to their profile. For more information on tags, review the iCIMS Text Engagement: Adding and Managing Tags article. By default, no tags are included as filters.
  • Country: Check countries from this dropdown list to filter candidates by their phone number country code; the default option is Any country. The country code is indicated by the national flag next to the candidate phone number.
    • Notes:
      • The country filter is based solely on the candidate’s phone number country code and it does not consider the location of the candidate’s home address.
      • Countries in the European Union Countries (EU) are grouped together for convenience. EU countries can also be individually selected as filters.
  • Record Age: Select a timeframe to filter candidates by the date of their profile creation in Text Engagement. Options include:
    • Any (default)
    • Over 30 Days
    • Over 60 Days
    • Over 180 Days
  1. Once the appropriate candidates are selected, click the Purge {#} Selected Candidates button on the bottom right of the popup to launch the Caution popup.
  • Note: Select Purge All {#} Candidates on the bottom left of the popup to select to purge all candidates shown. Then, click Next to review a summary of the filter details and confirm that you wish to delete those candidates.
  1. Within the popup, review the candidates selected to be purged and enter Purge {#} Candidates to confirm the number of candidates that will be deleted permanently.
  2. Click Yes, I’m Sure to purge the candidates; a success message displays.
