iCIMS Text Engagement: Creating and Managing Talent Pool Re-Engagement Campaigns

Overview

With Talent Pool Re-Engagement campaigns in the iCIMS Text Engagement web application, system users can easily reconnect with multiple existing candidates through automated texts based on their last contact interval and desired tags. Re-engagement campaigns run every day at a set time while enabled, automatically sending a re-engagement message to a dynamic group of candidates that meet the campaign’s criteria at that time. When users wish to end the automatic texts, users can disable or archive the re-engagement campaign.

The following sections of this article outline how a user can create and manage Talent Pool Re-Engagement campaigns: Note: This article only outlines creating and managing re-engagement campaigns; for information on standard campaigns where users can select specific candidates to target with a series of scheduled messages, review the iCIMS Text Engagement: Creating a Campaign article.
 

Creating a Re-Engagement Campaign

The steps below outline how to create a new Talent Pool Re-Engagement campaign from the iCIMS Text Engagement web application.

Notes:
  • Criteria are set when a re-engagement campaign is created; these criteria determine which candidates are automatically texted each day. Candidates cannot be added to re-engagement campaigns through manual selection as they are for standard campaigns; for more information on standard campaigns, review the iCIMS Text Engagement: Creating a Campaign article.
  • Because the recipients of a re-engagement campaign are dynamic and the recipient list is unique each day, candidates are not listed by name for re-engagement campaigns as they are for standard campaigns. Instead, the system estimates the number of candidates that will be contacted at a given time for the re-engagement campaigns. (Messages display in the candidate conversation view.)
  1. Navigate to the Campaigns page and click the Add Campaign button in the upper right corner to launch the Add Campaign popup.
    • Note: A re-engagement campaign can also be created via the New Campaign button on the dashboard.
  2. Complete the Campaign Name field (required) and toggle on Re-engagement Enabled.
    • Important NoteRe-Engagement Enabled makes the campaign a re-engagement campaign and determines the next steps of the campaign creation. When a campaign is created as Re-Engagement Enabled, it cannot be changed to a standard campaign afterwards.
  3. Enter any additional details as needed, such as:
    • Job Code: The ID or code of a job associated with the campaign; serves as the campaign code within the system. 
    • URL: A link to include in campaign messages; the system tracks click-throughs for URLs entered in this field. 
    • Automatic Response: An automated message sent to candidates when they reply to a campaign text.
      • Note: If a candidate responds to a campaign message, the message entered in this field is used instead of any automatic text response a user has configured for their account via the Profile Settings page.
    • Enable ARI: Organizations with iCIMS Digital Assistant can enable it for campaigns to further automate responses to candidate messages.
      • Note: If your organization is interested in learning more about iCIMS Digital Assistant, contact your account manager. 
  4. Review the campaign details, then click Next to advance to the filters page of the Add Campaign popup.
  5. Select a timeframe from the Last Contacted dropdown (required) and enter any additional filters as needed in the Tags field (optional). Candidates who meet both the Last Contacted and Tags filter criteria are automatically added to the re-engagement campaign each time it runs.
    • Notes:
      • The candidate’s Last Contacted date includes the following contact types:
        • Outgoing SMS (including re-engagement messages)
        • Phone Call
        • Email (for customers with an iCIMS Applicant Tracking integration only)
      • Candidates in an Inactive status are not sent re-engagement messages.
  6. Review the re-engagement campaign details, then click Next to advance to the next page of the Add Campaign popup.
  7. Adjust the From (managers only) and Send Time fields, as needed.
    • Note: The Send Time field determines when the applicable candidates receive the re-engagement campaign text each day.
  8. In the URL section, enter an optional link to include in the message. 
    • Note: If a URL was associated with the re-engagement campaign in step 3, that link is included in this field by default.
  9. In the Message section, compose the re-engagement message to send to candidates. Alternatively, click the Template option from the Mail Merge toolbar and select a template from the list.
    • Tip: To insert the URL from step 8 into the message, click the URL button in the Mail Merge toolbar.
    • Note: Drip messages and other additional messages cannot be used with re-engagement campaigns.
  10. Click Review to review the re-engagement campaign details and message. Then, click Save to create the re-engagement campaign; the overview page then displays for that campaign.
Once the Talent Pool Re-Engagement campaign has been created, automatic texts are sent to candidates per the campaign’s criteria. System users can access its overview page to manage the re-engagement campaign as described below in the Managing Re-Engagement Campaigns section of this article.
 

Managing Re-Engagement Campaigns

Once a Talent Pool Re-Engagement campaign has been created, system users can access its overview page to edit, archive, or disable the re-engagement campaign, as described in the following sections.
 

Editing a Re-Engagement Campaign

The steps below outline how to edit an existing re-engagement campaign in the system. To edit any campaign details, you must review each step of the campaign creation process.
  1. From the Campaigns page, click the Re-engagement tab; the list of re-engagement campaigns then displays.
  2. Click the name of the desired campaign; the campaign overview page displays.
    • Tip: Leverage the Campaign Name or Campaign Code filters to narrow list results as needed.
  3. From the campaign overview page, click Actions; then, click Edit Campaign to launch the Edit Campaign popup.
    • Note: The Edit Campaign popup can also be launched by clicking any of the Edit (pencil) icons available on the campaign overview page.
  4. From the Edit Campaign popup, follow steps 2-9 in the Creating a Re-engagement Campaign section above, editing any details as applicable.
    • Note: Re-engagement cannot be toggled off from the Edit Campaign popup; re-engagement campaigns cannot be changed to standard campaigns once created.
  5. Once the desired updates have been made, click Save to update the re-engagement campaign.
 

Disabling a Re-Engagement Campaign

When a re-engagement campaign is disabled, candidates no longer receive re-engagement messages from that campaign. Campaigns can be re-enabled at a later time, if desired.

The steps below outline how to disable an existing re-engagement campaign in the system.
  1. From the Campaigns page, click the Re-engagement tab; the list of re-engagement campaigns then displays.
  2. Click the name of the desired campaign; the campaign overview page displays.
    • Tip: Leverage the Campaign Name or Campaign Code filters to narrow list results as needed.
  3. From the campaign overview page, click the Re-engagement Enabled toggle in the upper left corner to launch the confirmation popup.
  4. On the confirmation popup, click Disable to disable the campaign.
Note: To re-enable a re-engagement campaign, click the Re-engagement Disabled toggle in the upper left corner of the campaign overview page. Then, click Enable to re-enable the campaign and resume sending the re-engagement message to candidates.
 

Archiving a Re-Engagement Campaign

When a re-engagement campaign is archived, candidates no longer receive messages from that campaign, and it no longer displays in the list of available re-engagement campaigns. A re-engagement campaign cannot be unarchived.

The steps below outline how to archive an existing re-engagement campaign in the system.
  1. From the Campaigns page, click the Re-engagement tab; the list of re-engagement campaigns then displays.
  2. Click the name of the desired campaign; the campaign overview page displays.
    • Tip: Leverage the Campaign Name or Campaign Code filters to narrow list results as needed.
  3. Click Actions; then, click Archive Campaign to launch the confirmation popup.
  4. On the confirmation popup, click Yes to archive the campaign.
