Overview

The reports identified in the Common Reports article are the most commonly requested and include the following report. To learn how to run searches and reports in iCIMS Applicant Tracking (ATS), refer to the Creating a Recruiting Workflow Search article. Offer Metrics Report

Helpful Hint: When creating a search in iCIMS Applicant Tracking, it is helpful to first come up with a clear idea for your report. Think about which candidates you want to report on (the “Who”), what details you want to know about them (the “What”), and how you want to organize the information (the “How”). The more specific you are with your idea, the easier it will be to break it down into these sections which will help you choose the right Keywords and Filters (for “Who”), Columns (for “What”) and/or Group-Bys and Sort-Bys (for “How”) for your report. This three section concept is used below to create an offer metrics report. 

Scenario: The talent acquisition director at your company wants to see recruiter activity metrics relating to offers being made to candidates on jobs that were opened this year, such as how many offers have been extended and how many have been accepted. 

1. Break your report idea down into the three sections to help determine the best way to create your search:

  1. Who are you reporting about: Using filters, you can focus your metrics report on candidate attached to jobs opened this year. 
  2. What do you want to know about them: Using columns, you can view different offer metrics, such as the number of offers extended or accepted. 
  3. How would you like this information organized: Using group-bys, you can organize your results by recruiter to see each individual recruiter's activity. 

2. To create your search inside iCIMS ATS, from the top menu bar, click Search > Recruiting Workflow. The “Who,” “What,” and “How” directly correlate with the three sections (A, B, and C, respectively) outlined in the below image.

A. Keywords and Filters: Who are you reporting about?

To report on candidate metrics related to jobs opened this year, add a filter for Date Last in Approved. 

  • Keywords: N/A for this report.
  • Filters:
1. Click Add Filter and add Date Last in Approved.  The selection path is Job File > Job > Reporting & Advanced Options - Foldering > Date Last in Approved
2. Select This Year from the list to the right of the added filter. 
  • Tips
    • Depending upon your system's configuration, your open job folder may have a different name. Use the "Date Last in" filter that correlates to your open job folder for this report.
    • If you have multiple open job folders, add the "Date Last in" filter for each folder, then change the Match all of the following statement above the filters to Match any of the following
B. Columns: What do you want to know about these candidates?

To view how many offers were extended, rescinded, declined and accepted, add the "# Ever in" column for each correlating workflow status. 
  • Columns:
1. For this report, candidate names and other information are not needed. Select None from the Output Template dropdown to quickly remove all unneeded default columns. 
2. Click Add Column and add Recruiter: Full Name: First Last. The selection path is Job File > Job > Detail Tab > Recruiter > Contact Tab > Full Name: First Last
3. Click Add Column and add ID and Title. The selection paths are Job File > Job > Detail Tab > ID and Job File > Job > Detail Tab > Title
  • Tip: Multiple columns can be added to a report at one time by selecting multiple options from the column picker popup and clicking Add Selected. The columns will be added to your report in the order they were selected.
4. Click Add Column and add the following recruiting workflow statistic columns; they are all located under Reporting & Advanced Options - Recruiting Workflow Statistics. 
  • # Ever in Status Offer: Offer Extended
  • # Ever in Status Offer: Offer Rescinded
  • # Ever in Status Offer: Offer Declined/Rejected
  • # Ever in Status Offer: Offer Accepted
    • Tips:
      • Depending upon your system's workflow configuration, you may have different statuses for the offer process. Add the corresponding # Ever in status for each applicable status.

C. Group Results By and Sort Results By: How would you like this information organized?

To review the total numbers for each offer stage across all jobs and recruiters, add a group-by for Total. Add deeper levels of grouping to see metrics for smaller segments, such as individual recruiter activity and individual job metrics. 
  • Group Results By:
  1. Click Add Group-By and add Total. The selection path is Reporting & Advanced Options - General > Total.
  2. Click Add Level to add a secondary grouping. In the new "Then, group by the following" box, click the Add Group-by icon (green plus sign) and add Recruiter: Full Name: First Last. The selection path is Job File > Job > Detail Tab > Recruiter > Contact Tab > Full Name: First Last
  3. Click the Add Level icon in the second box to add a third grouping. In the third box, click the Add Group-by icon (green plus sign) and add ID and Title. The selection paths are Job File > Job > Detail Tab > ID and Job File > Job > Detail Tab > Title
  • Tip: To see statistic totals for different segments, add the segment you want to see the metrics for, such as recruiter, as both a column and a group-by.  
  • Sort Results By: N/A

Understanding the Search Results

A. The Ever in... columns provide metrics on the number of candidates to ever be placed in the specified bin or status. In this case, the number of candidates to ever be moved into each of the offer stages of the workflow. 
B. The Total grouping provides cumulative metrics across all candidates in the report. The total number of candidates in each offer stage is displayed in that grouping's row. 
C. The Recruiter grouping provides metrics at the individual recruiter level. Statistics are calculated to provide the total number of candidates in each offer stage across all jobs assigned to the listed recruiter in each row.
D. The Job ID and Title grouping provides metrics at the individual job level. The total number of candidates in each offer stage for the specified job is displayed in each job's row.  

Tip: Select Export 3 Levels Only on the popup (see image below) when exporting this report to Excel to export a streamlined report only featuring the metrics for each grouping outlined above. Exporting all levels will include the individual candidate metrics which add extraneous details to your report.
