Texting Candidates from iCIMS Candidate Experience Management (CXM) and iCIMS Candidate Relationship Management (CRM)

Overview

Customers with both iCIMS Text Engagement and either iCIMS Candidate Experience Management (CXM) or iCIMS Candidate Relationship Management (CRM) can send text messages (SMS and/or WhatsApp, as enabled in the customer’s Text Engagement account) directly from CXM or CRM to candidates who have provided a mobile number and consented to receive such messages. Customers who also have iCIMS Digital Assistant can choose to have the Digital Assistant respond to candidate replies.

Sending Messages to Candidates

Recruiters with Text Engagement licenses can send both individual and bulk text messages from CXM or CRM. These two processes are described in the sections below.  

Sending Individual Messages

Recruiters with Text Engagement licenses can send text messages to individual candidates by completing the steps below.
  1. Select the Candidate Search tab from the sidebar menu, then select the name of the candidate you want to text. The candidate’s profile displays.
  • Note: In order to text a candidate, that candidate must have a phone symbol beside their name in the candidate search listing.
  1. Select the Messages tab from the menu below the candidate’s name.
  2. Within the Messages tab, select the Text Engagement tab.

  1. Enter your text message in the text field near the bottom of the tab.
  • Note: The message is sent via whichever channel (e.g., SMS, WhatsApp) is currently set for the candidate in Text Engagement. If no channel is selected, SMS is the default. This channel is indicated in the text field help text.
  1. Optional: Use the icons below the text field to use a message template, hand the conversation off to Ari (if your organization also has a subscription to iCIMS Digital Assistant), or add a calendar link to your message.

  1. When you are ready to send your message, select Send. The message displays within the conversation panel above.
 

Sending Bulk Messages (Text Campaigns)

Recruiters with Text Engagement licenses can create campaigns for their open roles to send bulk text messages to candidates by completing the steps below.
  1. Select the Candidate Search tab from the sidebar menu, then select the checkboxes next to any candidates you want to text. Several bulk action buttons display.
  • Notes:
    • In order to text a candidate, that candidate must have a phone symbol beside their name.
    • The maximum number of candidates you can select initially in CXM or CRM is 50 (the number listed per page, all of which can be selected by selecting the checkbox next to the column headers). However, you can select additional candidates as part of the campaign creation process or by editing the campaign in the Text Engagement web application or browser extension any time before the campaign is sent (e.g., if you schedule it to send at a later time or date). iCIMS recommends keeping campaigns to 500 or fewer candidates.

  1. Select the Bulk Text button. The Bulk Text Candidates popup displays. Within this popup is the Text Engagement interface displaying the Overview tab of a new campaign.
  2. Optional: Select the Candidates tab to review the candidates selected for this campaign in Step 1.
  3. Select the Actions button to the upper right. A dropdown list of options displays. Select Edit Campaign.
  4. Edit or fill in fields as desired. For more information on these options, review the Creating a New Campaign section of the iCIMS Text Engagement: Creating a Campaign article. Select Save when finished.
  5. Select the Schedule Message button and fill out the form that displays. For more information, review the Scheduling a Campaign Message section of the iCIMS Text Engagement: Creating a Campaign article. Select Review when finished. The Scheduled Message summary displays.
  6. Review the scheduled message and select which action to take:
  • To send your scheduled message, select Send (for a message set to go out immediately) or Save (for a message set to go out at a later time) when finished. The campaign’s Overview tab displays along with a confirmation message.
  • To edit your scheduled message, select the menu icon to the upper right and then select Edit. The Schedule Message form displays.
    • Note: A campaign can only be edited while it is unsent. Once the messages are sent they cannot be altered.
  • To delete your scheduled message, select the menu icon to the upper right and then select Delete. The campaign’s Overview tab displays and the campaign message is not saved.
 

Reviewing Messages from Candidates

Recruiters with Text Engagement licenses can review candidate responses to SMS and WhatsApp campaign messages directly within CXM or CRM by completing the steps below.
  1. Select the Candidate Search tab from the sidebar menu, then select the name of a candidate with a phone symbol beside their name. The candidate’s profile displays.
  2. Select the Messages tab from the menu below the candidate’s name.
  3. Within the Messages tab, select the Text Engagement tab. Your texting history with the candidate displays. For more information on receiving and responding to candidate messages, review the iCIMS Text Engagement: Responding to Candidate Messages article.
 

Using the Digital Assistant

Recruiters with Text Engagement licenses and pre-set outbound sequences can set the Digital Assistant to respond to candidates automatically by selecting Enable ARI when creating or editing a campaign.

Note: Outbound sequences are separate from your organization’s primary inbound sequence and are typically purchased for this specific use case.
