Overview

iCIMS Connect (Legacy CRM) provides customers with an easy way to attract and engage candidates who may not yet be ready to apply for a job posting, but are interested in the company's employment brand. Bring candidates in through a fully branded, mobile-optimized Social Connect Portal and leverage the iCIMS system's powerful recruitment marketing automation and CRM capabilities to communicate with passive candidates – and nurture them to become tomorrow’s active applicants.

iCIMS continues to support new and existing Connect customers while innovating a more robust CRM solution, iCIMS Candidate Relationship Management (CRM).

Connect FAQs

General

Q: Can I configure the fields that a candidate fills out on the Profile step of the Connect Portal?
A: User admins can configure the fields available in System Configuration by following the steps below.
  1. Select Admin > System Configuration > System > Person. Then select the Portal (Connect) Tab.
  2. Select the gray Quick Info Tab. The fields available for the Profile step of the Connect Portal will display. 
  3. Scroll down to the Unused Fields section and locate the field(s) you would like to add to the Profile step. Select the down arrow (Actions) button beside the appropriate field and select Move Field to Another Section. A Move Field (Field Label) modal popup will display.
  4. Select General Information from the Section dropdown. Select Move and then sekect Save.
  5. If the field is hidden, select the appropriate portal from the User Group dropdown at the top of the page. The Hidden, Required, and Read-Only checkboxes will then be accessible. Uncheck the Hidden checkbox to ensure the field will display on the Portal. Select Save.
Notes:
  • By default, the default fields that display on the Profile step include First Name, Last Name, Phone Number, Current Zip Code, Are you willing to relocate?, Email, and Password.
  • Fields can only be moved when the User Group is set to Global Group. If an added field is meant to display only on a specific portal, the user admin will have to move it at a global level first, then select the specific portal from the User Group dropdown and uncheck the hidden checkbox, leaving the Hidden checkbox checked for any other portals where the field is not meant to display.
Q: Can I remove the "Skip" link on the Portal so I can require candidates to include their resumes?
A: Yes, this link can be removed with assistance from a member of iCIMS Technical Support.

Talent Pools

Q: What do different folder statuses on the Talent Pool profile mean?
A: The default talent pool folders are as follows:
  • Active: A talent pool in this folder is available to be posted to a Connect Portal or has already been posted for candidates to see. In order to display on the Portal, a Talent Pool Profile must be in this folder.
  • Inactive: A talent pool in this folder is available for internal users at your organization (i.e. when a recruiter would like to organize candidates into a talent pool without the candidate being able to see that talent pool on the Portal).
  • Closed: A talent pool in this folder behaves similarly to a talent pool in the Inactive folder. Search locks can be used in conjunction with this folder, so this talent pool will not be visible in the system for any user groups, but the candidates associated with the talent pool will be retained in the system.

Q: How can I use talent pools to hire for "evergreen" job postings?
A: Instead of creating an "evergreen" job requisition that is never closed, recruiters at organizations that have high hiring volume for the same position on a regular basis can create a talent pool to source for that job instead. This talent pool can be placed in the Inactive folder (details above) so the recruiter can easily keep track of a select group of candidates without the candidates being able to see that talent pool when they log in to the portal.

Q: What is a Talent Pool Posting Search in Connect?
A: The Talent Pool Posting Search allows users to see if a talent pool has been posted, and to which portals it has been posted, similar to a Job Posting Search. If this search option cannot be accessed in your system, contact iCIMS Technical Support for assistance.

Q: What does the Areas of Interest page look like if there are no talent pools posted to a portal?
A: If no talent pools have been posted to a specific portal, the Areas of Interest page will be blank and the candidate will be able to select the Continue button to get to the next page.

Q: How can I change the information that displays when a candidate clicks Show Details for a talent pool on the Areas of Interest page of the portal?
A: The details that display on the Areas of Interest page can be configured using the Overview field on the Detail tab of the Talent Pool profile. If you leave the Overview field blank on a Talent Pool profile, the Show Details button will not display for that talent pool on the Areas of Interest page.

Email Campaigns

Q: What sender options do I have for emails that are part of email campaigns?
A: When you create or edit email campaigns, your sender options are either the auto-reply address (which will look something like companyname+autoreply@agents.icims.com) or the email address of the user you are logged in as.

Other emails sent in Connect (e.g. from the Workflows tab of a candidate's Person profile or from a Sourcing Workflow search) have the same sender options as other emails in the system. The users whose names and emails display in the From dropdown are controlled by the Send From search template, which can be accessed from a Person search.

Q: How can I use Connect to maintain contact with candidates who went through our hiring process but didn't eventually get hired?
A: Recruiters at your organization can use a combination of email campaigns and talent pools for recruitment marketing purposes. To create an email campaign around candidates who were qualified and went through the hiring process but were not eventually hired, iCIMS recommends the following practices:

  1. Create a Talent Pool profile specifically for the candidates that your organization wants to keep in contact with (e.g. a "Talent Pipeline" talent pool), and submit these candidates into the talent pool once the interviews for a job have been completed and hires have been made.     • Note: To create a talent pool that is used for internal purposes only, set the Folder on the Detail tab of the Talent Pool profile to Inactive.
  2. Create a Recipient List using the Talent Pool filter and set it to the specific Talent Pool profile you created in step 1.
  3. Create an email campaign for this Recipient List, which can be automated to reach out to these candidates on a regular basis.

Events

Q: What mobile devices are recommended for using the Event Management feature?
A: The Event Manager page can be accessed using a mobile device with a minimum screen size of 320px by 568px when using a supported browser. For more information about iCIMS supported browsers, review iCIMS Browser Support Policy.

Q: What do the Thumbs Up, Thumbs Up, and Neutral buttons in Recruiter Review Mode mean?
A: The Thumbs Up, Thumbs Down, and Neutral buttons are available in Recruiter Review Mode if an event attendee has indicated interest in certain talent pools, either when they registered for the event online or if they signed up in person at the event. These buttons allow a recruiter to evaluate the event attendee's fit for any talent pools they have expressed interest in.

By default, the Thumbs Up button corresponds with the Pursue status in a talent pool, the Thumbs Down button corresponds with the No Action status in a talent pool, and the Neutral status corresponds with the Future Consideration status in a talent pool. User admins can configure the statuses and which buttons are associated with each status in System Configuration.

Q: What resume upload options are available to event attendees when they sign in through Kiosk Mode at an event (e.g., a career fair)?
A: When event attendees sign up for the first time at an event, one step they will be taken to will say "Include Resume!" and will have the following options available by default:

  • Camera: This option will allow the event attendee to take a picture of their paper resume with the mobile device they are signing in with. The photo of the resume is uploaded to the iCIMS system, and if the image is clear enough, the resume will be parsed into the event attendee's Person profile.
  • Google Drive: This option will allow the event attendee to sign in to their Google Drive account and upload a resume.
  • Dropbox: This option will allow the event attendee to sign in to their Dropbox account and upload a resume.
  • Microsoft OneDrive: This option will allow the event attendee to sign in to their Microsoft OneDrive account and upload a resume.
Notes: 
  • The Camera button is only available on a mobile device in Kiosk Mode.
  • The "Include Resume!" step can be disabled by user admins in System Configuration.
  • The Google Drive, Dropbox, and Microsoft OneDrive buttons can be disabled or enabled by user admins in System Configuration.
