Feature Highlight: Auto-Launch Actions & Auto-Launch Prompts

Creating a Recruiting Workflow that is simple, intuitive, and efficient for all users at your organization.
Solution
When designing or redesigning a Recruiting Workflow, simplicity is key. An easy-to-use Recruiting Workflow should limit the amount of choices to prevent confusion for its users. Before diving into the system to maximize features of the Recruiting Workflow, iCIMS recommends you sketch out your organization's hiring process. Write out each step of the process, and keep the following questions in mind:
- What is the purpose of the step?
- What needs to happen at that step?
- What actions should a user take when moving a candidate into that step?
Doing this can help you identify bins or statuses that don't make sense, or ones that function as "holding areas" without serving a specific purpose. Each step should do something or serve a meaningful purpose, and to build that into your system you can use two very simple but often overlooked features:
- Auto-Launch Actions: Actions that automatically occur when a candidate is moved into another status. They are configurable per status and encompass a wide range of activities such as sending emails to leaving notes about the candidate. Using auto-launch actions, you can automatically provide actions to your users so they know what they should be doing with a particular step.
- Auto-Launch Prompts: A simple but overlooked feature that allow statuses with auto-launch actions to prompt the user with a dialog box. The dialog box can be configured to provide instructions, warnings, or any message to the user when a candidate is placed into that status. These prompts can even be changed per-user group. If there is no auto-launch action, this setting is not applicable.
Using these Features
Both auto-launch actions and auto-launch prompts can be configured by the user admin in System Configuration.
