Overview
iCIMS Digital Assistant is an AI-powered chatbot that simplifies the recruiting process across the hiring lifecycle to help organizations create positive candidate experiences and unlock productivity and scale.
With iCIMS Digital Assistant, your organization can:
- Automate repetitive, high-volume tasks.
- Intelligently automate candidate engagement across multiple channels.
- Increase agility with automated workflows you control.
This article provides information about the customization options available for the Digital Assistant JobChat chatbot to ensure it reflects your organization’s brand identity and complements your career site. Details of each option are outlined in the sections below.

Configuring Branding Options
The sections below describe the available branding color options for JobChat. Note that a single branding color option may impact multiple elements of the widget, as shown in the images below.
This image displays the collapsed (tooltip) widget view. This image displays the expanded (conversation) widget view.
- Tooltip Color & Main Button Color: This option controls the color (light blue in the screenshots above) of the following elements of the widget.
- The tooltip inviting candidates to select the widget button when it is collapsed.
- The main buttons displayed on the form view (e.g., the Start Chat button) and conversation view (e.g., the Send Message arrow) when the widget is expanded.
- Notes:
- iCIMS recommends using a company branding color that contrasts well with white.
- The greeting text for the tooltip (e.g., Ready to chat? Click here) can also be configured.
- Widget Button Color & Header Color: This option controls the color (dark gray background with white text in the screenshot above) of both the widget button when collapsed and the header when expanded.
- Note: iCIMS recommends using a darker branding color and white text color.
- Header Logo Image: When enabled, this option displays a small company logo on the header of the widget (ACME INC. logo in the screenshot).
- Note: For best quality, use an image file (at least 60 px height). The logo width should not be more than eight times its height (e.g., a 60 px high logo should be less than 480 px wide). iCIMS highly recommends using a transparent logo background, and padding should not be built into the logo.
- Recruiter/ARI Chat Bubbles: This option controls the bubble color (light gray in the screenshot above) of messages sent to the candidate from the recruiter/ARI.
- Note: The chat bubble color of messages from candidates cannot be configured at this time.
Additionally, the ARI avatar can also be configured to reflect your organization’s brand identity:
- The robot icon color that displays to indicate the candidate is chatting with AI (not shown in screenshot) can also be configured; this displays only when the Digital Assistant is enabled. iCIMS recommends using a secondary bright color that contrasts well with black.
- The robot icon can be replaced entirely with an alternate avatar image reflecting your brand (e.g., a brand or product mascot).
The chatbot widget can also be positioned to display on either the left or the right side of the page. Right side positioning is the default; to have your chatbot widget repositioned to display on the left, submit a case to iCIMS Technical Support.
Selecting or Removing the Optional Candidate Form
Customers can choose whether to have a form display when a candidate selects their career site JobChat widget. This form collects the candidate’s first name, last name, and mobile phone number.

If your organization chooses to include this form, candidates must complete it prior to chatting with the Digital Assistant, and their submitted name and phone number are added to their candidate profile in iCIMS Text Engagement. If your organization chooses not to include this form, candidates can chat directly with the Digital Assistant, and their name and phone number will not display on the candidate profile tied to their conversation with the Digital Assistant.
The candidate information form is on by default; to allow candidates to bypass the candidate form, contact iCIMS Technical Support.
Disabling the Candidate Form
When the candidate form is disabled, basic profile details (first name, last name, and phone number) may not be directly collected from the candidate. In that case iCIMS recommends that this information be collected in the sequence so that a candidate profile can be created with the correct information. If a candidate does not provide their information from the sequence, the profile created to store their conversation may not have a first name, last name, and/or phone number. In these cases, the iCIMS Text Engagement profile will be created with the following information:
- The candidate name is Candidate JobChat.
- The profile phone number is Invalid.
- The candidate is automatically tagged as InboundJobChatAnon.
Notes:
- For organizations with iCIMS Applicant Tracking (ATS), if candidate information is not collected through the form or the sequence, a candidate profile is not created in iCIMS ATS; the profile is only created in Text Engagement.
- In Text Engagement, you can edit the candidate profile to update the first name, last name, and phone number.
Engaging Proactively with Candidates
When the candidate form has been disabled, customers can now choose whether the Digital Assistant can engage candidates proactively on a career site by starting the conversation or not. Previously, the candidate had to first engage the Digital Assistant by selecting the chat widget and completing the candidate information form. The Digital Assistant can now expand the widget automatically and initiate a conversation with the candidate as soon as they land on the career site; the first message from the Digital Assistant is configured in the applicable sequence.
