Overview
iCIMS Candidate Relationship Management (CRM) is a powerful tool that organizations can use to recruit, attract, and engage qualified candidates. Working seamlessly with iCIMS Applicant Tracking (ATS), CRM provides comprehensive search and email capabilities that enable recruiters to find and communicate with the best-matching candidates for their jobs.
iCIMS Candidate Experience Management (CXM) combines the functionality of traditional candidate relationship management technology with AI-enhanced marketing automation capabilities to assess candidate engagement and automate campaigns.
CXM and CRM users have one of two roles: recruiter or recruiter admin. Recruiters have access to all functionality that allows them to search for and contact candidates. Recruiter admins, however, have extra permissions and capabilities not possessed by regular recruiters. This includes adding, editing, and deactivating workflow statuses in CXM or CRM.

Understanding Workflow Statuses
The Workflow Statuses tab of the Admin Settings page allows recruiter admins to create workflow statuses. Recruiter admins may create workflow statuses that help facilitate moving candidates through a workflow in the pipeline or indicate other candidate states relevant to your organization’s talent acquisition process. Examples of workflow statuses may include
initial review,
phone screen, or
sent to hiring manager. Once created by recruiter admins, users can then assign workflow statuses to in-pipeline candidates via the
Pipelines page.
Note: Workflow Statuses created from the admin panel apply to all pipelines.
Creating Workflow Statuses
To create a workflow status, select Create New Status. The Create Status window displays. In the Status Name field, input a name for the status, and select Save. The new status displays in the Workflow Statuses tab. Users can assign the workflow status, as applicable, to in-pipeline candidates via the Pipelines page.
Editing Workflow Statuses
To rearrange workflow statuses in the order they should be displayed in pipelines, select the up and down arrows to the left of each status name as applicable.
To edit the name of a status, select Edit. The Edit Status window displays. In the Status Name field, input the new name for the status and select Save. The revised status displays in the Workflow Statuses tab and is reflected in the Pipelines page. If the edited status was previously assigned to a candidate, the new status name displays.
Deactivating Workflow Statuses
To deactivate a status, select Deactivate. The Deactivate Status window displays. Select Deactivate. The status is removed from the Workflow Statuses tab and from use in the Pipelines page, and the same status name cannot be used in the future. Additionally, if the deactivated status was previously assigned to a candidate, the status is no longer assigned to the candidate.
