Overview
iCIMS Candidate Relationship Management (CRM) is a powerful tool that organizations can use to recruit, attract, and engage qualified candidates. Working seamlessly with iCIMS Applicant Tracking (ATS), CRM provides comprehensive search and email capabilities that enable recruiters to find and communicate with the best-matching candidates for their jobs.
iCIMS Candidate Experience Management (CXM) combines the functionality of traditional candidate relationship management technology with AI-enhanced marketing automation capabilities to assess candidate engagement and automate campaigns.
CXM and CRM users have one of two roles: recruiter or recruiter admin. Recruiters have access to all functionality that allows them to search for and contact candidates. Recruiter admins, however, have extra permissions and capabilities not possessed by regular recruiters. This includes adding, editing, and deactivating tags in CXM or CRM.
For more information on user access and recruiter admin permissions, review the
Managing Recruiter User Access and Configuration Settings in iCIMS Candidate Experience Management (CXM) and iCIMS Candidate Relationship Management (CRM) article.
Understanding Tags
The Tags tab of the Admin Settings page allows recruiter admins to create, view, search for, edit, and deactivate tags in CXM or CRM. Tags are attributes or descriptors that can be assigned to candidates. This tab lists all tags at the organization in table format with the following columns:
- Tag Name: The name of the tag.
- Tag Color: A circular colored bullet used to represent that particular tag.
- Visible on Candidate Cards?: A symbol to indicate whether the tag displays for candidates. A checkmark indicates yes; a general prohibition sign indicates no.
Creating Tags
Recruiter admins can add tags to CXM or CRM by selecting the + Create New Tag button at the bottom right of the Tags tab.
Note: For customers with iCIMS ATS, any tag created in CXM or CRM does not sync to ATS. Any tag created in ATS, however, is viewable in both systems. For more on tagging in ATS, review the article
Candidate Tagging.
Selecting this button opens the Create Tag window, which includes:
- Tag Name: A text field to input a name for the tag. (Required.)
- Tag Color: A set of seven different colored bullets. Only one color can be selected for the tag.
- Visible on Candidate Cards?: A toggle to determine whether this tag displays for candidates. The toggle is enabled by default (in yellow); when switched off, it turns gray.
After selecting Save, a Tag Successfully Created message displays at the bottom of the page, and the tag is added to the table.
Searching for Tags
Recruiter admins can search for tags listed on this tab through the Tag Search panel, accessible by selecting one of the magnifying glass icons. This panel includes the following fields and filters:
- Search by Name: A search bar to input a recruiter's name. As the recruiter admin types the name of a tag in this bar, the system automatically filters results in the table with tags matching that text.
- Date Filters: Two date filters are available to narrow the results:
- Created Start Date to Created End Date: Date boxes that allow you to select two specific dates and display tags that were created within that time span.
- Updated Start Date to Updated End Date: Date boxes that allow you to select two specific dates and display tags that were updated within that time span.
- Is Visible: A toggle to display tags that are visible on candidate profiles (i.e., Visible on Candidate Cards? is turned on). By default, this toggle is enabled (in yellow).
Editing Tags
Any tag listed on this page can be edited by selecting Edit at the right of the tag's row (or by selecting anywhere in the row). This opens the Edit Tag window, which includes the same items as the Create Tag window. After making changes in this window, the recruiter admin must select Save to save all changes.
Deactivating Tags
If a recruiter admin needs to remove a tag from CXM or CRM, they can deactivate that tag so it can no longer be assigned to candidates. This is done by selecting Deactivate at the far right of the tag's row, which opens the Deactivate Tag window.
This window includes the following message:
Are you sure you want to deactivate [Tag Name]? This action cannot be undone. The recruiter admin can only proceed by selecting Deactivate (or Cancel to abandon deactivation).
After selecting Deactivate, a Tag Successfully Deactivated message displays at the bottom of the tab, and the tag is removed from the table.
Note: A deactivated tag no longer displays for candidates, even if the
Visible on Candidate Cards? toggle was enabled.
