Overview
Profile factoids allow users to quickly and easily review important information at a glance. Each profile (except the Room profile) comes with 2-4 standard factoids. However, user admins may create new factoids and hide standard factoids as desired. (Note: Standard factoids cannot be edited but can be hidden.)
This article is composed of two sections:
Introduction to Profile Factoids
Factoids display key details about the profile, such as a candidate’s years of experience or the number of new candidates on a job. Factoids abide by field-level permissions and therefore do not display information to users who lack the necessary permission to view that field. Each profile has factoids specific to that profile type:
Person Profile
Factoids
Each type of Person Profile—Candidate, Employee, Hiring Manager, and Contact—has its own factoids which display relevant key details about that person.
Clicking on a factoid brings the user to the tab that houses the referenced information on the profile (except as indicated below, or when the factoid content is “[Blank]”).
- Candidate Profile
- Professional Experience in Years: Determined by totaling the End Date – Start Date for all entries within the Professional Experience Collection field.
- Note that this factoid rounds anything above 6 months up to a year, and anything under 6 months to 0 years.
- Submissions: The total number of jobs to which the candidate has applied.
- Source: The value entered in the candidate’s Source field.
- Hiring Manager Profile
- Jobs: The number of jobs assigned to that hiring manager.
- Note that this number includes open and closed jobs.
- Days to Fill: The average time-to-fill for the hiring manager’s jobs.
- Latest Open Job: The name of the most recent requisition to which the hiring manager was assigned.

- This job may be open or closed at the time of review.
- Employee Profile
- Current Job Title: The title entered into the Job Title field.
- Manager: The person indicated in the Manager field on the employee’s profile.
- Contact Profile
- Created Person: The name of the person who created the contact’s profile.

- Last Updated Date: The date the profile was last updated.
Job Profile
Factoids
Each Job profile has different factoids depending on which Job Folder Category it is currently in; these factoids are listed below.
Clicking on a factoid brings the user to the tab that houses the referenced information on the Job Profile (except as indicated below, or when the factoid content is “[Blank]”).
Note: By default, jobs in the Closed (Not Filled) folder will display the factoids below; however, this is configurable and may be different in your organization’s Platform.
- New Candidates: the number of candidates who have applied in the past 24 hours
- Clicking this factoid brings the user to a detailed view of the By Application Date search results on the People tab.
- Note that if either the By Application Date or Detailed View options for the People Tab are hidden, this factoid will not be clickable.
- Top Source
- If clicked, this brings the user to the detailed view of the By Source search results on the People tab.
- Note that if either the By Source or Detailed View options for the People Tab/Applicant Pool Visualization are hidden, this factoid will not be clickable.
- # Days Since First Approved: The number of days since the day the job was first approved.
- This factoid is not clickable.
- Closed Jobs
None of the factoids below are clickable.
- Days to Fill: The number of days the job was open.
- Days to Approve: The number of days between the job’s created date and the date it was approved.
- # Candidates: The total number of candidates for the job.
- # Candidates Interviewed: The total number of candidates for the job who were ever in a status with the Interview flag.
Clicking any of the factoids below brings the user to the Approval tab.
- # Pending: The total number of approvals in either Pending or Notified status
- # Started: The number of approvals in the Viewed status
- # Completed
- This factoid counts the number of approved, rejected, and skipped approvals.
- # Days in Pending Approval
- Archived OR Library Template Jobs
- Created By: The name of the person who created the job.
- This factoid is not clickable.
- Last Updated Date
- Clicking this factoid brings the user to the Details tab.
Recruiting Workflow Profile
Factoids
Different factoids display for the Recruiting Workflow Profile depending on the folder of the job it is associated with.
Clicking on a factoid brings the user to the tab that houses the referenced information on the Recruiting Workflow profile (except as indicated below, or when the factoid content is “[Blank]”).
- Factoids for Recruiting Workflow Profiles Associated with Approved Jobs
- Distance from Job: The candidate’s distance from the job.
- Other Submissions: The number of other jobs with which the candidate is associated.
- Clicking this factoid brings the user to the Other Workflows tab.
- If the Other Workflows tab is hidden for the user, they will be able to view the factoid but will not be able to click it.
- Source: The per-job source of the Recruiting Workflow profile.
- Clicking this factoid brings the user to the Source tab.
- Factoids for Recruiting Workflow Profiles Associated with Jobs in Any Other Folders
- Status: The candidate’s current recruiting workflow status.
- Last Updated Date
Location Profile
Factoids
Clicking on a factoid brings the user to the tab that houses the referenced information on the profile (except as indicated below, or when the factoid content is “[Blank]”).
- # of Hiring Managers: The number of hiring managers associated with the Location profile.
- # of Locations: The number of locations listed on the Location profile (including both default and additional locations).
Talent Pool Profile
Factoids
Clicking on a factoid brings the user to the tab that houses the referenced information on the profile (except as indicated below, or when the factoid content is “[Blank]”).
- New to Talent Pool: The number of candidates who have been added to the Talent Pool in the last seven days.
- Clicking this factoid brings the user to the Talent Pool profile People tab.
- Applicants from Talent Pool: The number of candidates in the Talent Pool who have one or more associated recruiting workflows.
- This factoid is not clickable.
- Interviews from Talent Pool: The number of candidates in the Talent Pool who have been moved into an Interview Recruiting Workflow status.
- This factoid is not clickable.
- Hires from Talent Pool: The number of candidates in the Talent Pool have been moved into a Hired Recruiting Workflow status.
- This factoid is not clickable.
New Hire Category Profile

Note: None of the factoids listed below are clickable.
- # Completed: The total number of onboarding workflows that are in either "Complete" or "Past Due Complete" status (based on the Onboarding Workflow Task Status column within the Onboarding Workflow search).
- # Open: The total number of onboarding workflows that are in "Open" status (based on the Onboarding Workflow Task Status column within the Onboarding Workflow search).
- # Past Due Incomplete: The total number of onboarding workflows that are in "Past Due Incomplete" status (based on the Onboarding Workflow Task Status column within the Onboarding Workflow search).
- Avg. Days to Onboard: The average time to onboard new hires for the specific new hire category (based on the value of the Average Time To Onboard column within the New Hire Category search).
Event Profile
Factoids
Note: None of the factoids below are clickable.
- # Registered and Attended: The number of candidates that registered for and attended an event.
- # Reviewed: The number of candidates (from the Event profile People tab) that have been put into Reviewed Status.
- # Applicants: The number of candidates (from the Event profile People tab) that applied for a job.
- # Hires: The number of candidates (from the Event profile’s People tab) that were moved into a Hired Recruiting Workflow status.
Notes:
- The number of candidates who have applied for jobs at the organization and the number of candidates who have been hired at the organization factoids count the candidates who have attended an event and applied for a job and/or were hired within 120 days of the event’s occurrence, by default.
- The number of days between the event and the candidate’s association with either submitting an application or being hired is configurable by the user admin using the Days Since Event Association setting in System Configuration.
Creating Profile Factoids
User admins can create new factoids (and hide default factoids) for all profiles except Room profiles. The steps below describe creating a new profile factoid.

- Navigate to Admin > System Configuration, and search for Factoids. Select the result to access the Factoids setting.
- Select the Edit link beside the Factoids setting. The Profile Factoids popup will display.
- On the Profile Factoids popup, expand the list items on the left to locate the profile or profile type you would like to create a factoid for.
- For example, to create a new factoid for a Job profile for a job that's open, expand Job Factoids and then expand Open Job Profile.
- Highlight the profile or profile type you would like to create a factoid for so that it is highlighted in blue. Then, click the Create list item (green plus sign) icon.
Notes:
- Default factoids cannot be modified, but can be hidden if desired.
- Up to four factoids can exist on any profile at a time. If you are creating a factoid for a profile that already has four factoids, you must hide an existing factoid before you will be able to save a new factoid.
- A profile must have at least one factoid to display (i.e., not all factoids can be hidden).
