17.3 Release Notes: Onboarding Re-submissions

Onboarding Re-submissions

iCIMS Onboard customers can now resubmit returning employees to a New Hire Category they were previously submitted to for rehire onboarding. For example, an employee who was submitted to the Seasonal Sales Associate New Hire Category upon initial hire can now be resubmitted to that same New Hire Category upon rehire; a separate New Hire Category is no longer needed to accommodate returning employees.

The steps for onboarding a returning employee are very similar to onboarding a new hire. To begin the process, advance your returning employee to the workflow status your organization has configured to launch the Onboarding Wizard, just as you would for a new hire.

On the Submit to Workflow step of the wizard, the Platform detects if the individual being onboarded has been previously submitted to any New Hire Categories. If any such submissions are identified, the phrase “Previous Submission Found” will be listed in parenthesis after the name of the New Hire Category, as seen below.  To resubmit the rehire to the category, simply choose the New Hire Category from the list and select Submit.

On the Add Tasks step, a new column titled Last Completed Date has been added to assist with task assignment for rehires. This column displays the most recent date an individual completed the respective task, if applicable, to help determine which tasks should be assigned for the rehire.

Once the returning employee has been resubmitted to the New Hire Category, the new workflow will appear in the Onboard section of the Workflows tab on the Person profile. To better differentiate multiple submissions to a single category, the name of the associated job as well as the date of submission are now displayed in this section.

The submission date column, called Created Date, has also been added to the default output of Onboarding Workflow searches.

On the Onboard Status tab of the Person profile, the tasks associated with each submission are separated into their own groupings, with the date of each duplicate submission displayed beside the New Hire Category title for easy identification.

Similarly, when adding additional tasks through the Onboard Status tab, selecting the Add Tasks button will display a list of available workflows to assign the task to, with the date of submission for each duplicate workflow displayed beside the category name.
