Overview
iCIMS Candidate Experience Management (CXM) and iCIMS Candidate Relationship Management (CRM) both include several analytics dashboards as well as custom reporting options, all located on the Reporting & Analytics page. All users have access to review analytics dashboards and shared reports. Recruiter admins have additional access to create custom reports and share them with your organization.
This article includes the following sections to assist you in using reporting and analytics for CXM and CRM:
Understanding Data in Reports and Analytics Dashboards
The CXM or CRM data (and, if applicable, iCIMS ATS data) used to generate reports and analytics syncs from those products to the iCIMS analytics data warehouse. This is done to optimize the data for report building and combining with other data elements such as the customer’s ATS recruiting workflow data.
Changes made in CXM or CRM can take 24 hours to be reflected in reports and analytics dashboards.
Some CXM or CRM fields are not reportable, including the following:
- Campaign Pipelines
- Candidate Engagement Score
- Category
- Custom Fields
- Event Team Member(s)
- History
- Notes
- Pipeline Category (text fields added to pipelines for filtering; e.g., department)
- Policy Details (search locks assigned to specific login groups)
- Skills
- Text Engagement Message History
- User Consents
- Candidate Education History
- Candidate Employment History
When a CXM or CRM user builds or reviews a report, some search locks are applied to automatically filter the data that this user can access. The following search locks apply to reports and analytics dashboards:
- Country of Residence
- Folder

Creating and Reviewing Reports
Recruiter admins are able to create reports using an embedded Google Looker interface, and all recruiters are able to review shared reports, directly in your organization’s CXM or CRM by navigating to the Reporting & Analytics page and selecting the Reports tab. These topics are outlined in the sections below.
Creating Reports
Recruiter admins can create reports by completing the steps below.
- On the Reporting & Analytics page, select the Reports tab. Then select the Create Report button. The Create Report popup displays.
- In the Create Report popup, select a dataset for your report from the dropdown menu. Then select Create. The Report page displays.
- Build your report within the embedded Looker interface. For more information on building Looker reports, review Google’s Looker documentation. (Note: This documentation is not maintained by iCIMS.)
- Optional: When you have finished building your report, save it by following Google’s instructions for Saving and Editing Looks. (Note: This documentation is not maintained by iCIMS.)
- Reports saved to My Folder can only be accessed by the recruiter admin who created them.
- Reports saved to Group can be accessed by all CXM or CRM users within your organization.
Reviewing Reports
Except when prevented by specific search locks (Country of Residence and Candidate Folder), all users can review saved reports by navigating to the Reporting & Analytics page and selecting the Reports tab. This tab displays a list of saved reports; for recruiter admins, this list includes their private reports.
To review a given report, select View; the Report page for that report displays. For more information on the options available within the report, review Google’s The Look Explore Actions Gear Menu documentation. (Note: This documentation is not maintained by iCIMS.)
When reviewing a report, recruiter admins also have the option to edit the report. Any saved changes impact the report for all users, not just the recruiter admin making the changes; to leave the original report unchanged, create a copy before making and saving changes.
Reviewing Analytics Dashboards
All users can access analytics dashboards directly in your organization’s CXM or CRM by navigating to the Reporting & Analytics page and selecting the Analytics Dashboards tab. This tab includes the following dashboards:
- The Candidate Engagement dashboard includes data pertaining to campaign and direct email metrics.
- The Hiring Conversion dashboard includes data on the overall effectiveness of CXM or CRM to convert candidates to hires. This dashboard is only available to organizations who have iCIMS Applicant Tracking (ATS).
- The Recruiter Usage dashboard includes data on recruiter usage of CXM or CRM.
- The Talent Community dashboard includes data of talent community traffic and conversion for your organization.
- The Event Management dashboard includes data on event management.
Select the dashboard title to open that dashboard. Each dashboard includes various tiles of data, consisting of tables, graphs, and facts. Most metrics include tool tips with definitions, which display when you hover over the information icon.
Filtering Dashboard Data
You can modify the filters at the top of each dashboard. Select a current filter value to alter it by typing or selecting new values as allowed. Select the plus sign to add additional filter terms and operators (e.g., starts with, is before, is equal to).
Taking Action on a Dashboard
There are several actions you can take to make additional use of the data on a dashboard, such as downloading it or emailing it to yourself or others for future reports and presentations. While most actions are applied to the dashboard as a whole, certain actions can be applied to individual tiles.
To take action on an entire dashboard, navigate to the top right of a given dashboard. The options available include:
- Reload: Refreshes the dashboard to the latest data.
- Hide Filters: Hides the dashboard’s filters from display. When filters are hidden, this option changes to Show Filters.
- Dashboard Actions (menu icon):
- Clear Cache and Refresh: Refreshes the data being displayed.
- Download: Downloads the dashboard in PDF or CSV format.
- Schedule Delivery: Schedules periodic delivery of your dashboard via email.
- Reset Filters: Resets dashboard filters.
To take action on an individual tile, hover your mouse over the tile. Two icons display at the top right:
- Bell (alerts) icon: Creates email alerts for that tile based on conditions you set for that tile.
- Tile Actions (menu icon)
- Download Data: Downloads the tile data in one of many file formats.
- View > Expanded: Displays a larger version of the tile.
- Clear Cache and Refresh: Refreshes the data being displayed.
