Candidate Guide to iCIMS Career Portals

Overview

Many organizations use iCIMS Applicant Tracking to enable candidates to browse and apply for open jobs. This article introduces job applicants to the system to assist with searching and applying for jobs.

Tips:

  • You may access career portals and follow the steps below using either a computer, tablet, or smartphone.
  • The appearance, required steps, and options on the career portal are different per company and may vary from the screenshots and steps in this article. In addition, the names of clickable buttons may be slightly different.
  • Fields marked with an asterisk on the career portal are required.
  • Warning: Email addresses with accented characters (e.g., josé@email.com) are not supported within the iCIMS system.

Logging In

Logging In as a Returning User

  1. Click Log Back In! in the upper right side of the company portal.
  2. Log in using your connected social media or Microsoft account, or enter the login name and password you used to create your account with this company. Click Login to proceed.
  • Tip: You may select the Forgot Your Password? link if you have forgotten your login name or password.
  1. Use the Dashboard (described in the section below) to update your profile, view current job opportunities, manage email subscriptions, and check on the status of any jobs you have already applied to. Options available may depend upon the company.

Searching and Applying for Jobs

Searching for a Job

On a career portal's Welcome page, you can view and search for positions available at that organization. The options and display of the search form may differ depending on the organization.

  1. View All Open Positions: Click this link to view all open positions.
  2. Search Filters: Search for open positions by keyword, location and/or advanced filters.

    Notes:

    • The advanced filters that are displayed will vary by portal.
    • On certain portals, advanced filters will display only after clicking an Advanced Search link.
  3. Search Button: Click this button to view your search results.

Tips:

  • If available, select the location search bar, then select Use My Location to view jobs near you. (Note: If Use My Location is available and has been selected, your browser will ask for permission for the site to access your current location. The message will vary from browser to browser.)

Navigating Job Listings

  1. Job Search Form: Search again by keyword or other available criteria. Once all relevant information has been entered, click Search to view results underneath.
  2. Sort By...: Click this dropdown to sort jobs by characteristics such as job ID, job title, or posted date.
  3. Search Results: View each job that matches the criteria entered in the job search form. Depending on the setup of the organization's portal, the job preview may include important high-level information like the title of the job and a portion of the job description.

Applying for Positions

  1. Click the job title of the appropriate job within the career portal.
    • Tip: If you have applied to a job with this company before, log in to your existing profile before continuing. For more information on logging in as a returning user, see the Logging in as a Returning User section of this guide.
  2. Select Apply for This Job Online.

    Notes:

    • If you're not logged in, you may be taken to an Enter Your Email page after clicking this button. By inputting your email address, the system will identify whether you're a new applicant or a returning applicant with an existing profile. It will then direct you to the logical next step in your application.
    • Based on the specific portal you're using, the steps after this may vary.
  3. If you don't have an existing profile, on the next page, enter your name and email address and create a login and password. You can also build your profile by signing in to a social account or uploading a resume. When finished, click Submit Profile.

    Notes:

    • You may be able to select from the following options to upload a resume: My Computer (to select a resume from your computer or mobile device), Google Drive, Dropbox, or OneDrive.
    • When uploading a resume, the system may populate some profile fields with the information from that resume. To take full advantage of this resume parsing functionality, upload your resume prior to completing other fields.
    • You can typically begin the application process without a resume, but you may be required to submit one before completing your application.
  4. On the Candidate Profile page, fill in and/or update all appropriate fields. When finished, click Update Profile.
  5. On subsequent pages, answer any screening questions, enter EEO information, and answer any job-specific questions before officially submitting your application.
  6. Once the application process is complete, a new page with a confirmation message will display, indicating that the application was submitted successfully. You may also have the option to subscribe to new job notifications on this page, depending on the company's configuration. This step is optional.
  • Tip: At certain steps in the application, you can click Finish Later to leave the application and return at a later time, picking up where you left off.

Applying with a Social Media Account

Candidates can also apply for jobs on many company portals with a Facebook, Google, LinkedIn, or Microsoft account. These options may not be provided by all companies. When using a social account, the career site may pull limited information from your specific social profile, such as first name, last name, and email address.

  1. Access the desired job, and select Apply for This Job Online to begin the application process. (Note: If you don't have an existing profile, you will prompted to build a new one.)
  2. Select the desired social media icon, and log in to your profile via the provided popup. If asked to provide iCIMS permission to access your profile, click Accept or Okay.
    • Note: Candidates who apply through social media are not only logging in to their social media account, but also giving the iCIMS software permission to access specific profile information such as name and email address.
  3. Limited information such as first name, last name, and email address automatically transfers into the job application. Modify this information as necessary.
    • Tip: At this stage, a Disconnect link will display on the page. The Disconnect link allows you to easily disconnect a social media account.
  4. Complete additional sections of the application, as applicable. Select Finish Later to finish the application at another time, or click Submit to finalize all changes.
  5. Once the application process is complete, a new page with a confirmation message will display, indicating that the application was submitted successfully. You may also have the option to subscribe to new job notifications on this page, depending on the company's configuration. This step is optional.

Updating and Submitting Information

Submitting a Resume for General Consideration

Submitting a resume for general consideration allows your resume to be placed in the company's recruiting system without applying to a specific position. This option may not be provided by all companies.

  1. Select the Submit Your Resume link on the Welcome page.
  2. Build your profile by uploading a resume or signing in to a social account. Information will automatically transfer into the appropriate fields. You can modify this information by simply clicking into the fields.
  3. Continue filling out required fields and forms as necessary, clicking Submit to finish.
  • Tip: If this link is not available, you must apply for a specific open position and follow the steps above. If the ability to connect with the organization is provided instead of general application capabilities, please refer to the following section.

Connecting with a Company

You may also be able to add yourself to an organization's talent pools so you can be considered for future jobs in your areas of interest.

  1. On a company's career portal, select the Connect with Us link. (Note: The name of the link may vary.)

  2. Enter your email address, or select a social media account button to use the information from your social media profile to prepopulate your profile.
  3. Select your interests and click Continue.
    • Tip: If an employer has provided additional detail about an area of interest, a Show Details link will display. Click this link to review more information about an applicable area of interest.
  4. Upload a version of your resume from your computer or your Google Drive, Dropbox, or OneDrive account. Then, select the Upload button. (Note: If you do not wish to upload a resume at this time, click Skip to bypass this step. However, it is recommended that you provide a resume when possible.)
  5. Review the information parsed from your resume or social account (if applicable), and fill in all required information. Select the Submit Profile button to continue.
  6. A new page with a thank-you message will display, confirming that you have connected with the company. A list of jobs that match your interests may also display; click on any job title to review and apply for a job, if desired.

Navigating the Candidate Dashboard

Your candidate Dashboard provides access to a number of different actions, as well as a summary of your past job submissions. After logging in, it can be accessed by clicking Dashboard at the top right.

On your candidate Dashboard, you may have access to the following actions:
  • Update Your Profile: Update your profile information.
  • View Your Job Recommendations: View jobs that match your interests.
  • View Current Job Opportunities: View all current job opportunities with this employer.
  • Update Your Personal Screening Questions: Update questions that you have answered previously (such as "Are you over 18?").
  • Make a Referral: Refer a friend to the organization by submitting their name and email address.
  • Manage Your Email Subscriptions: Subscribe or unsubscribe from one or all mass communication emails.
  • Data Subject Requests: Manage data subject requests.
  • Continue Application: Continue a particular application from where it was left off. (Note: This action will only be available within the Past Job Submittals area, if applicable.) 
  • Withdraw: Withdraw an application for a specific position. (Note: This action will only be available within the Past Job Submittals area, if applicable.)

Updating Your Profile

  1. Log in to your profile and click Dashboard at the top right.
  2. Select the Update Your Profile button.
  3. Upload a resume or click Replace to replace an existing resume, if desired.
  4. Enter or update your name, address, and any additional information, if desired.
  5. Select Update Profile to submit your changes.

Editing Area of Interest Subscriptions

  1. Log in to your profile and click Dashboard at the top right.
  2. Select the Manage your email subscriptions button to edit your area of interest subscriptions.
  3. View or modify your selected areas of interest, and click the Save button to save your updates.

Managing Notifications and Communications

Managing Email Subscriptions

Some customers allow candidates to manage email subscriptions based on specific topics. Email subscriptions allow candidates to receive information relevant to their interests from a company (unlike job search email alerts, which pertain to specific jobs available at that company). From your candidate Dashboard, you can unsubscribe from these email subscriptions or sign up for new ones.

  1. Log in to your profile, access your Dashboard, and select the Manage Your Email Subscriptions button.
  2. A list of subscriptions will appear. Uncheck the boxes of the subscriptions you would like to unsubscribe from. Check the boxes of the subscriptions you like to add.
  3. Click Save to confirm your changes.

Warning: At the bottom is an Unsubscribe from Mass Email Communications option. If you select this option and save, you will be unsubscribed from future mass emails of any kind from this company and will not receive notifications about interviews, future considerations, career opportunities, etc., especially if those emails are sent to multiple individuals at once. For this reason, it is not recommended to unsubscribe from all mass emails.

Referring a Friend

  1. From the job listings page, select the title of the job for which you want to refer a friend.
  2. Select the Email This Job to a Friend button.
  3. Complete the available fields, and then click Submit Referral. (Note: If you are not already logged in to the portal, you will be asked to provide your name and email address in addition to your friend’s information.)
Tips:
  • Both you and the friend you are referring will receive an email notification with further details.
  • You can refer a person to any job to which they have not yet been attached. This allows an individual to be referred for multiple job openings, potentially by different referrers. If the system recognizes the email provided, the existing profile for your referral will be attached to the new job. If that person has already been associated with a particular job opening (determined by the unique job ID), you will receive a message indicating that this person has already been placed into consideration for that job and the system will not process the referral.
